Rental Aggreement
American Legion Hall Rental Agreement Terms and Conditions
This agreement outlines the terms and conditions for the rental and use of the American Legion Hall facilities. By proceeding with the booking, the renter agrees to the following:
1. Use of Premises
The American Legion Hall may only be used for lawful, private events including but not limited to weddings, parties, receptions, meetings, or community functions. The renter shall not use the premises for any unlawful purposes or permit any nuisance, illegal activities, or disturbances.
2. Rental Hours and Overtime
The rental period includes setup and cleanup time. Events must end by 11:00 PM unless prior written permission is granted. Overtime beyond the agreed-upon hours will be charged at a rate of $100 per hour, billed in full-hour increments.
3. Deposit and Payment
A non-refundable security deposit of $200 is required to reserve the date. The full rental fee is due no later than 14 days prior to the event. Failure to pay the balance in full by the deadline may result in cancellation without refund.
4. Cancellation Policy
Cancellations must be submitted in writing. The security deposit is non-refundable under all circumstances. If the event is canceled fewer than 14 days before the scheduled date, 50% of the total rental fee will be retained. No refunds will be issued for cancellations made within 72 hours of the event.
5. Alcohol and Smoking
Alcohol may only be served if prior approval is obtained and all necessary permits are secured. The renter assumes all liability related to alcohol service. Smoking is strictly prohibited inside the building.
6. Capacity and Fire Code
Occupancy may not exceed the posted maximum capacity. The renter is responsible for ensuring that all fire exits and pathways remain clear and that fire code regulations are followed at all times.
7. Decorations and Damage
All decorations must be approved in advance. No staples, nails, or tape may be used on walls, ceilings, or floors. The renter is responsible for any damage to the facility, furniture, or equipment caused by themselves, guests, or vendors. The cost of repairs will be billed to the renter.
8. Cleaning Requirements
The renter must remove all trash, decorations, and personal property immediately following the event. Basic sweeping and wiping down of tables is expected. Failure to clean adequately will result in a $150 cleaning fee.
9. Liability and Indemnification
The renter assumes full responsibility for the behavior and actions of all attendees. The American Legion is not liable for any injuries, losses, or damages that occur on the premises during the rental period. The renter agrees to indemnify and hold harmless the American Legion, its officers, and members from any claims arising from the event.
10. Right of Refusal and Termination
The American Legion reserves the right to deny or cancel a rental for any reason, including concern for safety, non-compliance with rules, or community conflict. In such cases, all payments made, except the deposit, will be refunded.
